d. Identifiers
- User ID – generated by Firebase Authentication to manage your account and link your data
e. Usage Data
- Search Queries – processed by Algolia to enable note search functionality within the App
g. Device Permissions
- Camera – to capture videos for notes and profile picture
- Photo Library – to attach existing media to notes and profile picture
- Microphone – to record audio for note creation
h. Automatically Collected Information
- Device information - such as model, operating system, and unique identifiers (Firebase Installation ID)
- Usage Data – including app interactions, session duration, and technical diagnostics
- Search Queries – when you use the search feature, your query text is securely transmitted to Algolia to provide search results.
2. How We Use Your Information
We process your information for the following purposes:
App Functionality
- Create, authenticate, and manage your user account
- Store and synchronize your notes securely via Firebase
- Process audio and video files with Gemini AI to generate notes
- Enable search functionality for your notes via Algolia
- Generate Excel and PDF documents (purchase orders) containing your provided contact and financial information
Communication
- Send account-related notifications and support responses via email
Legal Compliance
- Comply with tax, accounting, and legal obligations (e.g., VAT record-keeping)
We
do not use your data for targeted advertising or behavioral tracking.

We do not sell, rent, or share your data for advertising or marketing purposes.

- All data is securely stored in Google Firebase with encryption in transit (HTTPS/TLS)
- Cookler does not implement custom encryption beyond standard OS-level and Firebase encryption
- Access controls and authentication protocols protect your account
- Access to user data is restricted to authorized personnel and necessary third-party processors
- Audio and video files are stored in Firebase Storage unless you delete the associated note
- While we implement industry-standard security measures, no system can guarantee 100% security
5. Data Retention
- Account data: Retained while your account is active
- Media files: Stored until you delete the associated note or your account
- VAT/tax number: Retained for legally required periods (up to 10 years under EU law)
- Deleted accounts: Data is erased or anonymized unless legal retention is required
6. Your Rights
Depending on your location (e.g., GDPR in EU, CCPA in California), you may have the right to:
- Access your personal data
- Delete your data (right to erasure)
- Restrict or object to processing
- Export your data in a portable format (data portability)
